Information for during the Lecture-Free Period
Some of you might already be sitting on the metaphorical packed suitcases while others are still preparing for exams, term papers or internships. For the latter as well as other issues, formalities may have to be dealt with, e.g. applications to the student residence administration, the BAföG or examination office, applications for scholarships or terms abroad. For some, their term of office ends now – others are preparing to take up office in the upcoming winter semester. That’s why we have compiled some
Useful information for you during the lecture-free period
- because, generally, there are no holidays for your student representatives! Meetings and some sessions will continue to take place as well as offers and services will continue to be provided – albeit to a limited extent…

Lending, room use – break from August 8 to September 4
Lending services are available and booking a room is also possible during the lecture-free period. However, between August 8 and September 4, the StuRa-Office is also taking a summer break – borrowing and booking rooms is only possible during this period if registered by August 2, 12:00 pm.
Please also remember that new room applications must be submitted for during the semester period – as well as, in advance, for the winter semester 2024/25. Anyone who has already submitted a room application can of course also use the rooms during the summer break.
Social Counselling, Legal Advice, IT-Services
- The Legal Counselling Services are available during the lecture-free period – enquiries can be submitted via the online form – but processing may take longer.
- During the lecture-free period, the Social Consultation Hour will only take place on August 1 and 8, after that only by appointment – please contact the Social Services Office via email.
- The IT-Services of the VS are available and the IT infrastructure is being maintained throughout the semester break, the IT team can be reached via support@stura.uni-heidelberg.de.
Summer Closing Date and Financial Consultation Hours
The Cash Desk closes for the remaining duration of the summer semester on August 2 – however, this does not mean that you can no longer submit statements. However, due to various absences, statements will be processed more slowly. It is therefore best to complete as many statements as possible now and submit them asap; everything that is submitted in full by August 2 should still get transferred by mid-August.
The Financial Consultation Hour will still take place regularly on August 1 and 8 (13-13:30 online and until 15:30 in presence), from there on session will take place only online and on the following dates:
- 22/08, 13-14 h
- 05/09, 13-14 h
- 19/09, 13-14 h
- 10/10, 13-14 hrs
Individual appointments can be arranged. Someone will also be in the office on some of the above-mentioned fixed dates, you will find a notice shortly beforehand on the finance site. Inquiries by email, tickets or via online forms will also be processed consistently – but, again, somewhat more slowly.
Committee Certificates & Election Notifications
You can apply for certificates for members of committees and office holders, e.g. for the extension of residence or examination deadlines, scholarship applications, etc. using this form. Confirmations for university committees can be obtained from the university’s electoral office directly or the relevant dean’s office, respectively.
The final notifications and information for the new student council, student representatives and StuRa members elected during this summer semester will be sent your way at the beginning of August.

StuRa & RefKonf Meetings
The Referatekonferenz (RefKonf), the executive body of the Constituted Student Body (VS), continues to meet during the lecture-free period – and in the time before the StuRa meets again. So, if you have urgent matters and can’t wait until the first StuRa meeting on October 29, you need to bring them to the RefKonf in the meantime. Application forms, documents and minutes can be found here. Dates during the lecture-free period are:

The next regular StuRa meeting will be on Oct. 29 again (further dates until the end of 2023 are: 12/11, 19/11, 26/11, 10/12)
The ExCo (Executive Board of the Doctoral Convention) also continues to meet during the lecture-free period – regularly every Monday – both online via Zoom as well as in person. If you wish to participate, please write an e-mail to doktorandenkonvent@uni-heidelberg.de beforehand, you will then receive Zoom access or you can participate on site.
Further Meetings, Office Hours during the Lecture-Free Period!
Student councils, groups, working groups and offices (departments) also continue to meet during the lecture-free period – not all of them on a regular basis, but often all the more intensively. New faces are always welcome! The meetings during semester break are a particularly great opportunity to gain insights outside the usual semester hassle.

As meetings are also arranged informally during the lecture-free period, feel free to simply ask the working groups in which you would like to participate or offices directly when exactly meetings are due.
Special Holiday Offers
- The University Sports Institute offers a free sports programme on weekday evenings.
- URRmEL – the university’s own bike repair workshop – is open on Thursdays from 2 pm to 8 pm during the lecture-free period; there will be a Flinta repair workshop on August 21.
- The Heidelberg Theatre is taking a break from July 30 to Sep. 12 – perhaps you will find a performance in the programme afterwards that you could attend (free of charge with our theatre flatrate!)
